Personal Assistant (PA)

We're looking for a PA to provide personal assistant, secretarial and administrative services to the CEO, COO and Commercial Managers within Inca.

Principal responsibilities:

  1. To provide proactive personal assistant services to the CEO and the COO, including diary management, meeting organisation and general secretarial duties, relieving them of all routine matters.
  2. To organise extensive and complex UK and international travel itineraries and arrangements for the CEO, the COO and the Finance and Marketing directors (the Commercial Managers).
  3. To organise, co-ordinate and gather documentation for the CEO and the COO, including Board, management and customer meetings, and to progress chase following meetings.
  4. To act as a contact point for external visitors for the CEO and the COO and from Inca’s parent company, Screen, making travel and hotel arrangements as required.
  5. To assist the Commercial Managers with administration of marketing and customer meetings / demonstrations.
  6. To provide general administrative and secretarial support to the Commercial Managers, including telephone and email screening, expense management and statement reconciliation for the Commercial Managers.
  7. Interact and communicate with colleagues and employees at all levels, maintaining confidentiality and improving the communication flow during the absence of the CEO, COO and Commercial Managers.

Knowledge and Experience:

  •  Substantial experience as a PA to CEO and senior executives
  • IT Skills - Microsoft Office, especially Outlook, Word and Powerpoint.
  • Excellent communication skills and telephone manner
  • Minimum 50 wpm typing
