The Department Support Assistant, Snr. works as part of a team that are responsible for providing day-to-day support and service delivery to Qualcomm employees based at our office in Cambridge. The role will primarily focus on administrative support including coordinating travel arrangements and diary management. The office in Cambridge can accommodate over 600 employees and site management and event coordinating will also come under the remit of this role.

Key Responsibilities

  • Provide administrative support to the Senior Management team and associated functions
  • Organise and maintain diaries and help to schedule meetings.
  • Arrange internal and external meetings and conferences, including catering, taxis, evening meals and ad hoc requirements.
  • Booking meeting rooms and ensuring that the room is prepared for scheduled meetings sufficient supplies, IT equipment working, hospitality etc.
  • Coordinate domestic and international travel arrangements for the teams, including visa applications, flights, transfers and hotels.
  • Event planning and coordination, including managing events calendar researching and securing venues and monitoring timeframes and budgets.
  • Liaise with overseas visitors and global offices
  • Generate purchase orders and internal orders using business systems.
  • Raise and process expense claims for the team
  • General office admin such as updating pigeon-holes, helping new starters, notice board updates and managing company share-point systems
  • Liaise with other functions and admins across the business
  • Maintain internal systems for the team
  • Assist with ad hoc projects as and when required
  • Other tasks and duties as may be required. 

Minimum Qualifications

  • NVQ Business Administration level II or Administrative experience.

Preferred Qualifications

  • Strong IT skills with good working knowledge of Microsoft Office, Outlook and the Google suite.
