Learning and Development Coordinator

Vitae is a non-profit programme managed by the Careers Research & Advisory Centre (CRAC) Limited, an educational charity based in Cambridge. Vitae works with researchers and researcher developers in the UK and internationally to promote, develop, deliver and evidence the career and professional development of researchers.

We seek a talented Coordinator to join our growing team. Working primarily with the Head of Learning and Professional Development and the wider team, the post holder will support and coordinate the delivery of a variety of Vitae and CRAC projects, meetings, events, including the delivery of development training programmes for researchers in universities and research institutes, in the UK and internationally.

The post holder will have experience in project/programme/event coordination and delivery, excellent administrative, organisational and interpersonal skills, a capacity for prioritisation and multi-tasking, and the flexibility and enthusiasm to achieve successful outcomes.

Ideally the post would be full-time, but we are open to a range of flexible working options.

£18k - £25k per annum depending on experience (or pro rata if not a full-time arrangement)

Coordinate the delivery of a variety of Vitae and CRAC projects, meetings, events, including training programmes for researchers in universities and research institutes, in the UK and internationally. Provide proactive administrative support to staff across the organisation as required.

MAIN RESPONSIBILITIES

  • Provide ongoing coordination, administration and logistical support for a range of Vitae and CRAC projects, meetings, events and other services, including accurate and timely maintenance of internal calendars, project tracking spreadsheets, files, CRM records, risk registers, and drafting contracts (using existing templates), invoices and other documentation. 
  • Provide hosting/administration for online and (Covid-19 permitting) face-to-face events and training programmes, including:
    • Acting as Vitae’s official representative in training/other events, managing the online platform if applicable, and providing support to the trainer/colleagues in a professional manner.
    • For face-to-face events (Covid-19 permitting), managing travel, logistics, accommodation and courier bookings; briefing clients, trainers and staff; and preparing/packing training materials. 
  • Support business and relationship development by acting as a first point of contact for external queries, providing professional customer service, and liaising and negotiating with internal and external colleagues/clients with a professional and helpful manner. 
  • Manage administration processes for Vitae’s online subscription tool – providing quotes, writing user agreements, managing annual renewal process, raising invoices, answering questions or sign posting to information/appropriate team members. 
  • Maintain, monitor and add content to the CRAC and Vitae websites, as required.
  • Attend offsite training events and meetings where necessary, including annual Vitae Conference.

Knowledge and Experience

  • Coordination of training activities, events, meetings and logistics
  • Provision of excellent customer service and administrative support
  • Supporting several concurrent projects 
  • Effective use of IT, CRM, and booking systems
  • Competent in Microsoft Office, Word, Excel, Power Point and web-editing software
  • Competent and confident in using Zoom, gotomeeting, Teams and/or other video-conferencing platforms
  • Understanding of Survey Platforms or willingness to learn

Desirable:

  • Experience of higher education or other non-profit environments
