Responding to incoming customer emails relating scheduled, unscheduled and/or tailored courses.
Liaising with those incoming enquiries for training courses (sending literature, answering queries, following these enquiries up, completing bookings).
Proactively monitoring the scheduled training course bookings, chasing and closing ‘enquiries’, identifying and contacting additional delegates to fill spaces.
Maintaining the scheduled course bookings spreadsheet, course prospects and company prospects spreadsheets (with input from the Business Development Manager and Accounts Administrator).
Sending weekly updates on training course bookings to colleagues.
Planning/organising scheduled training courses (face-to-face, virtual and on-demand) in the UK and abroad.
Venue and catering bookings, booking delegates in at reception.
Turnkey service to delegates from booking of course, to visa invitation letters, pre-course questionnaires, venue info and agendas.
Preparing and printing/emailing manuals, certificates, signing-in forms, putting together information packs of literature and giveaways. Putting together resources required to deliver each course.
Saving pre-course questionnaires, feedback forms and certificates in relevant folders.
Maintaining the virtual training platform Adobe Connect
Creating and maintaining rooms.
Adding and monitoring course delegates and on-demand delegates.
Maintaining the on-demand delegates list and ensuring that their access is correct or removed when necessary.
Updating the previous delegates spreadsheet with dates recording and certificates have been sent out.
Planning/organising non-scheduled training courses & consultancy in the UK and abroad by supporting Consultants using the checklists, including:
Organising consultant’s travel, accommodation, car hire, parking, etc.
Organising venues and course material
Providing a turnkey service to delegates
Sending weekly updates on consultancy bookings
Maintaining a Record of Rooms used at the OU
Organising and maintaining training course literature: outlines, agendas, pre-course questionnaires, booking forms, manual content pages, feedback forms.
Preparing documents and submitting application for CPD from the RSC for training courses.
Maintaining media from partners, suppliers, manufacturers.
Forward booking all scheduled courses including organising the trainers, venues and materials.
Answering the telephone when Office Manager is unavailable.
