Tame your computer: expiring email

In her weekly series for Cambridge Network members, software training expert Karen Roem offers handy tips to help you 'Tame your computer'.

This week she explains how to make an email message unavailable after a specified date and time in Microsoft Outlook* ...



With the holiday season and - if you believe the long-term weather forecast - a heat wave on the horizon, this tip is about using Outlook's feature to automatically expire email messages that become irrelevant after a certain date. This way, for instance, the recipient won't have to wade through messages about meetings that have occurred during his or her holiday.



Here's how:



1. Create a message as normal.

2. Click the Options button on the toolbar.

3. In the Delivery options section select the 'Expires after'check box.

4. Click on the down arrow to the right of the 'Expires after' check box.

5. In the Date Navigator click on the date you want, or click on the left or right arrow on either side of the month to change the month.

6. Click the Close button and send the message as normal.



If the message is received before the expiry time, it will be treated as normal until reaching the expiry date/time. Expired messages remain in the recipient's Inbox, but they are highlighted with strikethrough formatting for easy identification.



All that rests is to wish you a warm summer. It seems difficult enough to accurately predict the weather forecast for tomorrow, so perhaps it's best not to get our hopes up too high!



* Unless stated otherwise, these tips were written for Microsoft Office 2000. Most of what is covered however will also apply to earlier and later versions.
