Events & Admin Lead

The Events and Admin Lead will play a key role in supporting the delivery of the Cambridge AZ-Beijing Life Sciences Collaboration Programme, a strategic partnership between the University of Cambridge, AstraZeneca and partners in Beijing that aims to strengthen international collaboration, knowledge exchange and innovation across the life sciences  sector. A central responsibility of the role will be to shape, develop and deliver the Cambridge-AZ-Beijing Life Sciences Forum, a flagship two-day conference that will take place in both Cambridge and Beijing, bringing together leaders from academia, industry, healthcare and government.

Working closely with the Global Outreach Manager, the postholder will lead the planning, 
coordination and delivery of the Cambridge-AZ-Beijing Life Sciences Forum, manage complex stakeholder relationships, and ensure that event logistics, budgets and administration are delivered to a consistently high standard. While the role will involve close collaboration with AstraZeneca colleagues and a range of external partners, the postholder will be employed by Cambridge Enterprise and will not be based within AstraZeneca. The role will also provide wider administrative support to Global Outreach and the Entrepreneurship & Ecosystems team as required.
 

Main Responsibilities:
• Lead the planning and delivery of a major life sciences conference in Cambridge,
ensuring clear project plans, timelines, risk logs and delivery milestones are in place
• Coordinate all core event logistics, including venue selection, catering, accommodation, travel, delegate management and on-the-day delivery
• Support Cambridge participation in international conferences and forums, including travel planning, itinerary coordination, materials, briefings and logistical arrangements.
• Develop and maintain event documentation, including running orders, briefing packs,
attendee lists, speaker schedules, supplier information and post-event reporting.
• Manage engagement with senior speakers, VIPs, delegates, partners and high-profile
stakeholders, ensuring communications are timely, accurate and professional.
• Coordinate speaker invitations, confirmations, briefing materials, biographies, presentation requirements and event-day support.
• Build and maintain strong working relationships across the Cambridge life sciences ecosystem
• Source, liaise with and manage suppliers, venues and hospitality providers, ensuring services are delivered to agreed requirements and standards.
 

Essential skills and attributes: 
• Significant experience planning and delivering large-scale conferences or international events
• Strong understanding of the life sciences, healthcare, biotechnology or wider innovation
ecosystem.
• Experience working with senior stakeholders, speakers, VIPs and external partners
• Experience coordinating complex projects involving multiple stakeholders, suppliers and delivery partners.
• Excellent organisational and project management skills, with the ability to manage multiple priorities simultaneously.
• Strong interpersonal and communication skills, with the ability to build effective working relationships with a broad range of stakeholders.
• High levels of accuracy and attention to detail.
 

Preferred skills and attributes: 
• Experience supporting international delegations, visits or overseas engagement activities.
• Familiarity with Dynamics 365 and Asana
• Experience working within the life sciences, healthcare, biotechnology or research sector
• Chinese language skills
