For CGLMC, running a major golfing venue like Carnoustie requires a range of financial controls. With three courses and four departments spread across its site, previous manual systems were no longer practical for the organisation. So at the end of last year, the Finance Department looked to install an electronic cloud based Purchase Order and Supplier invoice system.
After demonstrations involving as many staff as possible, the specification and design of the new ‘Purchase orders online’ system was created. A range of issues were covered from budgetary controls to purchasing and invoice workflow approvals for both orders and supplier invoices - even how to deal with complex fuel purchases. System users now have the ability to upload supporting documents to support the PO’s such as delivery notes and quotations.
The Purchase orders online product also allows approved supplier invoice data to be exported as a CSV file for transfer to the Company’s SAGE accounts system. Importantly, the Finance department has full visibility across the whole system of the status of both Purchases and Invoices. Customised reports add another level of information and auditability.
