CogniDox is document management software used by a number of high-tech companies to track product documentation and comply with the document control requirements of quality assurance standards such as ISO 9001 and ISO 27001. In addition to managing product quality documents, it can now help improve document quality through integration with content optimisation software from Acrolinx.
Specifically, the integration was done using the Acrolinx Add-in for Microsoft Word. Acrolinx is used to scrutinise documents stored in CogniDox for spelling, grammar, complex writing style, incorrect use of terminology or names, key phrase reuse, and SEO keywords. Acrolinx calculates a quality score for each document, which becomes a property displayed in the CogniDox document details. The score is updated each time a draft is rechecked and a new version returned to the document library. The score can then be used as part of a document review/approval workflow to ensure that only documents with sufficient quality are approved.
CogniDox administrators can configure the CogniDox plugin to decide whether to use Acrolinx on different document types. It makes sense to score the quality of some document types but not others. For example, It is essential to check a marketing brochure or product datasheet, but less essential to check an Engineering Change Order.
Adoption of Acrolinx software by existing CogniDox users requires additional licensing from Acrolinx, but the companies have demonstrated the feasibility of integration through this joint exercise.
